Decision Information Systems, Inc. (“DIS,” “we,” “us,” or “our”) respects the privacy of our customers and website visitors. This Privacy Policy describes the types of information we may collect, how we use and protect that information, and the circumstances in which information may be shared.
This policy applies to information collected through our website, www.dis1.com, and in connection with the products and services we provide, including software, computer hardware sales, technical support, remote support, and on-site services.
Information We Collect
Depending on your interaction with DIS, we may collect information such as:
- Your name and company name;
- Mailing, billing, and service addresses;
- Telephone numbers and email addresses;
- Information regarding products or services you have purchased;
- Invoice, payment, and customer account history;
- Information you provide through our website contact form;
- Information you provide when requesting technical support;
- Computer, software, network, equipment, or configuration information reasonably necessary to provide technical support; and
- Files, screenshots, error information, or other materials you voluntarily provide to us for troubleshooting or support.
We collect this information primarily when you provide it to us in connection with a purchase, service request, support request, website inquiry, or other business relationship.
Payment Information
DIS accepts credit and debit card payments through third-party payment processors. Payments may be submitted electronically or, when requested by a customer, payment card information may be provided to DIS by telephone.
When payment card information is provided to DIS by telephone, the information is used solely to process the requested transaction through a payment processor. DIS does not retain the card number, security code, or other payment-card credentials after the transaction has been processed. Any temporary written record containing payment-card information is securely destroyed immediately after the transaction is completed.
Third-party payment processors handle payment information in accordance with their own terms, security requirements, and privacy practices.
DIS maintains ordinary business and accounting records relating to transactions, including invoices, products and services purchased, amounts, payment dates, and customer account history. These records do not include customers’ complete payment-card numbers or security codes.
Website Accounts and Contact Forms
Our website may permit users to create an account. Account information may remain on the website until it is removed in the ordinary course of business or upon an appropriate request.
Our website also provides a contact form through which visitors may provide information such as their name, company name, telephone number, email address, and a message. We use information submitted through the contact form to respond to the inquiry and for related business purposes.
Technical Support and Remote Access
When providing technical support, DIS may receive or maintain information concerning a customer’s computer systems, software, equipment, network configuration, or other technical information necessary to diagnose problems and provide requested services.
DIS may also provide remote technical support using third-party remote-access technology. In some cases, customers authorize DIS to maintain unattended remote access to designated computers for ongoing support purposes. Such access is established with the customer’s knowledge and authorization.
DIS does not routinely record remote-support sessions.
When reasonably necessary to provide requested ongoing support, DIS may retain credentials or other access information that a customer has authorized DIS to maintain. Such information is maintained using security measures intended to restrict unauthorized access, including secured credential-management systems where appropriate.
Customer Files Provided for Support
Customers may voluntarily provide DIS with data files, documents, configuration files, or other materials so that we can diagnose or resolve a technical problem.
Such materials are used for the purpose of providing the requested support. Customer files provided specifically for troubleshooting are ordinarily deleted after the support matter has been concluded and the files are no longer reasonably needed.
Information Transmitted by DIS Software
DIS software does not transmit customer data, customer names, license or activation information, serial numbers, usage statistics, crash reports, or other telemetry to DIS as part of its ordinary operation.
Certain DIS software may communicate with DIS for the limited purpose of checking whether a software update is available. The update-checking function transmits the installed software version necessary to perform that check. It is not designed to transmit customer data or information concerning the customer’s use of the software.
Cookies and Website Technology
Our website may use cookies or similar technologies necessary or useful for normal website operation, including website accounts, shopping functions, security, and user preferences.
DIS does not use its website for behavioral advertising or advertising-related tracking and does not use information collected through the website for cross-site behavioral advertising.
How We Use Information
We may use information we collect to:
- Provide products and services;
- Process transactions and maintain business records;
- Respond to inquiries;
- Provide technical, remote, and on-site support;
- Maintain customer and service histories;
- Diagnose and troubleshoot computer systems and software;
- Communicate with customers regarding products or services they use;
- Maintain and improve our products and services;
- Protect our systems, customers, and business; and
- Comply with applicable legal, accounting, and regulatory requirements.
Customer Communications
DIS does not engage in routine mass marketing or promotional email campaigns.
We may periodically communicate with current or former customers when there is a legitimate reason related to our products or services, including notices concerning software updates, support matters, important product or service information, or other information relevant to the recipient’s relationship with DIS.
Recipients may use an unsubscribe mechanism included in a message, when available, or contact us at dis@dis1.com to request removal from nonessential email broadcasts. We will make reasonable efforts to honor such requests while retaining the ability to send communications reasonably necessary to provide requested products or services or address an existing business relationship.
How We Share Information
DIS does not sell or rent personal information to third parties.
We may provide limited information to service providers or professional advisers when reasonably necessary for them to perform services on our behalf or assist us in operating our business. Depending on the circumstances, these may include:
- Payment-processing providers;
- Website and email service providers;
- Remote-support service providers;
- Data-backup providers; and
- Professional advisers, including accountants.
We provide or permit access only to information reasonably related to the service being performed.
We may also disclose information when reasonably necessary to comply with applicable law, legal process, court orders, or lawful governmental requests; to protect the rights, property, or safety of DIS, our customers, or others; or to investigate fraud, security issues, or other unlawful activity.
If DIS is involved in a merger, acquisition, sale of assets, reorganization, or similar business transaction, customer and business records may be transferred as part of that transaction, subject to applicable law.
Information Security
DIS uses reasonable administrative and technical safeguards intended to protect personal and customer information against unauthorized access, disclosure, alteration, or loss.
Depending on the information and system involved, these safeguards may include password protection, multi-factor authentication, security software, restricted access, secured credential storage, and backup procedures.
No method of storing or transmitting information can be guaranteed to be completely secure, and therefore we cannot guarantee absolute security.
Data Retention
DIS retains customer, transaction, support, and business records for as long as reasonably necessary for the purposes for which the information was collected, for ongoing customer relationships and support, for ordinary business and accounting purposes, and as necessary to comply with applicable legal or regulatory requirements.
Because the usefulness and required retention period of different records varies, DIS does not apply a single retention period to all customer information.
Customer files supplied specifically for troubleshooting or technical-support purposes are ordinarily deleted when the support matter has concluded and the files are no longer reasonably needed.
Accessing or Correcting Your Information
If you believe that personal information maintained by DIS about you is inaccurate, or if you would like to request access to or correction of information associated with you, you may contact us at dis@dis1.com.
We will make reasonable efforts to respond to appropriate requests, subject to applicable law and legitimate business, accounting, security, and recordkeeping requirements.
Children’s Privacy
Our website and services are not directed to children under the age of 13, and DIS does not knowingly collect personal information from children under 13 through our website.
Changes to This Privacy Policy
We may update this Privacy Policy periodically to reflect changes in our business practices, services, technology, or applicable requirements.
When we update this policy, the revised version will be posted on our website and the “Last Updated” date at the top of the policy will be changed accordingly.
